Diffusing Tension in the Workplace

Resolve conflict and bring peace to the work world

The workplace is complicated. It doesn’t matter if you work on an assembly line, type away at a cubicle, make cold calls in a call center, or take customer orders at a dinner table; you always deal with other people.

We’re all human and we have bad days. And sometimes you might do something inadvertently to make someone’s day worse. It could be a miscommunication via email, perhaps you chew loudly, or maybe there’s a scheduling conflict you just can’t agree on. These little things add up and suddenly there’s tension between the two of you.

Getting rid of that tension is one of the most important workplace soft skills. An employee who can effectively resolve conflict is priceless. So, how is this accomplished?

There are five main styles for managing conflict, according to Thomas, Kenneth W. Thomas and Ralph H. Kilmann originators of the Thomas-Kilmann Conflict Mode Instrument. The key is to figure out the right mix of styles for any given situation, and recognize your coworker’s preferred conflict management style.

Here are those given conflict management styles, as outlined by SourcesOfInsight.com.

  1. Accommodating

Think of this as killing your enemy with kindness.

Basically, if accommodating is your style of choice, your tendency is to give into the other person’s desires without making sure you get what you want. Maybe you think your boss’ idea is less than great, but don’t tell them because that would make waves.

Although it might sound cowardly on paper, there’s nothing inherently wrong with the accommodating style. All styles are valid. For example, it’s usually better to defer to those with more experience when you’re new to the job.

  1. Avoiding 

With this style, you avoid conflict at all costs. You never win arguments and prefer to stay out of the combat zone entirely. You don’t want to say no so you end up saying nothing. Think of this as the “let well enough alone” mentality.

Avoidance is a great for when emotions are running high and you need time to think, when you know you can’t win, or just don’t feel like the situation is worth the effort. Why engage when there will be minimal gains?

  1. Collaborating

Think of this as the “win-win” scenario. You want to work with your coworker in order to achieve common ground and for everyone to get what they want.

This is a great conflict resolution style when everyone is already on the same page. You trust each other, value teamwork,  say what you mean, and don’t have to worry about hurt feelings. It’s not a great choice when emotions are running high or people’s viewpoints are diametrically opposed.

  1. Competing

This is the “might makes right” mentality. You want to get what you want no matter what, and the opposing side’s wishes aren’t important.

Again, this sounds like the angry boss who intimidates his direct reports into getting something done. In that case, it’s not the best decision. But if you’re an accountant on a deadline and someone on another team is trying to tell you how to do your job, competing is a perfect response. You know your job better than someone in a different department, and don’t have time to worry about hurt feelings.

  1. Compromising

Think of this as standard negotiating procedure. The “give and take” approach. You and your coworker both work toward a solution by giving things up until common ground is reached.

The main problem with this one is that it takes time and isn’t affective when someone is unwilling to give anything up. That means it’s best used when you need a temporary solution or when both sides have important goals. However, beware: compromising can frequently be the result when collaborating is the better choice because it’s easier to get done. But if everyone can get what they want with a bit of hard work, why not go that route?

If you’re partial to any of these conflict resolution tactics, ask yourself if you’re trying the same solution in every situation and not getting the results you need. If you are, you might want to explore other methods to get rid of the problem.

Everyday Habits That Make You a Better Leader

habits_better_leader_webBecoming a great leader doesn’t take a lifetime of work. Rather, there are everyday habits you can start right now that will help you learn to successfully lead others. From communicating effectively to being courageous in the face of adversity, these tips can help you mold yourself into the leader you want to be today.

Learn to set clear expectations.
It’s fair to say that no one can read minds. So, it’s especially important to make sure you are setting clear expectations before starting a project or delegating an assignment. If you’re leading people on a project, ensure you’re being precise, both verbally and in writing, about what is expected and when you expect the work to be completed. If you’re being assigned a task, make sure you ask questions that clearly establish the expectations of your job before you start. By clarifying expectations, you decrease the opportunity for problems to arise and make it easier to deal with them when they do.

Focus on people.
If you’re a supervisor or a leader of others, it’s important to visit with your teammates on a frequent basis. Investing time in your co-workers helps grow your team and build trust, accountability, and understanding. And strengthening your relationships with those you lead helps you give important feedback during annual reviews. If you aren’t in a leadership position yet, the same rules apply. Getting to know your co-workers and being someone people trust is a great way to help you move up the ladder and get noticed.

Get involved.
One of the easiest ways to gain experience, network, and build your resume is through volunteering. When you give your time to help with community service or an organization that’s important to you, you’ll gain valuable relationships, enjoy the feeling of giving back, and gain skills you may not have otherwise. You may also learn how to lead others, which can be a valuable tool back at the office.

Be brave.
When faced with difficult decisions, leaders have to be brave. In fact, employees will often look to how a leader behaves during turbulent times before deciding how to react themselves. When you’re faced with adversity in the workplace or at home, take a deep breath and consider your options before moving forward. Remember to assess the outcomes of your decisions to learn from your mistakes and celebrate your accomplishments.

Know yourself.
According to Forbes, 90% of top performing leaders possess an abundance of self-awareness. Having a strong sense of self-awareness means you have a clear image of yourself, which includes your leadership style, strengths, weaknesses, and skills. You know where you can improve, and you know where you shine. Once you develop stronger self-awareness, you can craft a plan for improving areas that need work.

Hold yourself accountable.
When things go wrong, it’s easy to blame someone else. But, great leaders know when they’re at fault. Instead of shifting the blame to someone else, own up to your mistakes and any role you had in the problem. Don’t be afraid of what may happen when you’re honest, and never point the finger at those who are not at fault. Furthermore, be there to back up those who need you when things go wrong.

Love what you do.
When you’re passionate about something, it shows. And often, it’s contagious. Take time to be thankful for your job and gain enthusiasm for what you do so others can pick up on your energy. Strive to share the passion you have for your work with others before boredom and apathy take over your team.

Administrative Professionals’ Day

admins day_April2014Today is Administrative Professionals’ Day, a day set aside to let administrative workers know how much they are appreciated for everything they do in their workplaces.

It takes a special person to fill the role of administrative professional. The job title doesn’t do justice to the huge contribution those people provide their companies with daily.  Administrative professionals do a lot of behind the scenes work that many people don’t realize and they deserve to be celebrated.

Ways to Show Your Appreciation
How can you acknowledge the hard work of the administrative professionals at your company? Depending on where you work and how well you know the administrative assistants, you may offer to take them out for lunch, buy them their favorite chocolate or coffee, or write them a note to let them know how grateful you are for their hard work. Taking the time to show your appreciation will brighten their day.

I don’t know about you, but the administrative professionals at my workplace are some of the greatest people I know. They’re incredibly hard working and choosing one day out of the year to let them know they are appreciated is a good start. So, remember to acknowledge your administrative professionals and let them know you appreciate them for all they do.

Struggling to Find Inspiration to Make it Through Your Workday? 4 Places to Look

If you find yourself in the same work environment day after day, year after year, you might start to feel drained physically, mentally, and emotionally. You may even become apathetic, causing your creativity to drop. Then, your work might begin to suffer. Suddenly, just getting through the workday can be challenging. If you’re one of many workers struggling to find motivation to get through your workday, discover your inspiration and revive your passion through one of these four avenues.

Environment

Sometimes, simply changing your environment can give you a new perspective on your job. If you’re able to take your work with you, ask your supervisor if you can work outside for a short time, work in a different area of the building, or possibly even work from home for a day. Work not portable? Use your lunch break to get outside, take a walk, and enjoy the different scenery.

People

Do you know someone who always makes you laugh, makes you feel better about your situation, or shares words of encouragement? Check in with those friends, family members, and co-workers when you need a pick-me-up during the workday. Consider writing down some of their encouraging words on note cards and posting them in your workspace to view throughout the day. Want to hear someone else’s view on the world? Art

Whether your favorite type of art comes in the form of photography, paintings, music, poetry, or novels, surrounding yourself with the art of your choice can provide new inspiration to help you reach your goals at work and at home. Not sure where to look? Hang a print of some art that brings you joy. Inspiration is sure to follow when you are surrounded by things you love.

Dreams

Sometimes, inspiration comes from dreaming of what may come. So, don’t be afraid to dream big and look toward the future to find your inspiration. Whether you’re motivated by striving for the VP’s chair or simply want to earn a raise to buy the car you’ve been eyeing, dreaming can supply the power you need to make it through the workday.

You’ve probably experienced at least a day here or there when you’ve struggled to stay on task at work, making your day seem endless. But, if you concentrate on what brings you motivation, you’ll soon be right back where you need to be – inspired to get the job done and done well.
