St. Patrick’s Day: Lucky Breaks in the Workplace

Somehow they get all the attention and wind up getting promoted, all the while you faithfully show up every day, do what’s asked of you, and are still in the same position you started out in. It’s understandable why you may feel unlucky, but the reality is that the professional world doesn’t work that way. An article from the Huffington Post lays it out like this: “While many employees do fine work, exceeding expectations in one’s day-to-day activities is not enough to get ahead. Rather, those who capture promotions are driven internally to strive for more.”

However, when you’re in the trenches, it’s easy to assume that someone else’s promotion was for less admirable reasons. “She managed to land the hot projects and got all the glory.” “He only got his promotion because he’s friends with the boss.” “She was always given the leadership roles.”  But, there may be more to the story than these natural assumptions, and chances are the promotion probably had nothing to do with luck.

Landed the Hot Projects
Maybe she did get handed some of the high-profile projects, but you need to ask yourself “why?” Most likely she acted and worked in a way that caused her manager to trust her with bigger and bigger tasks. So, you need to do that too. A Chicago Tribune article recommends anyone desiring a future promotion to “Show initiative by volunteering for projects, either within your department, on a cross-functional team, or a temporary job detail. Project work will give you an opportunity to gain more experience, showcase your skills to a broader group, expand your network, and gain even greater name recognition.” Sometimes it really is as simple as asking for projects and showing you’re a dependable, solutions-focused, hard worker.

Buddies With The Boss
Having a close relationship with top-level executives and learning from your boss can legitimately play a role in getting promoted. Generally, people recommend people they like, even if it gets labeled as “office politics.” “Much of what is dismissed as ‘politics’ is simply part of the job description – being a good communicator,” Forbes explains. “Being visible. Being helpful. Building relationships. You can’t be a leader without doing those things.”  The Chicago Tribune suggests getting a mentor because that person “can also be instrumental in spreading positive press by championing your skills, talents, and abilities throughout the organization to the right people.”

Always The Team Leader
Once again, she was handed leadership roles in projects and within the team for a reason. Attitude, track record, dependability, passion, and drive all factor into whether or not a manager trusts you enough to give you a chance at leadership. And usually that leadership role will start out small, and then as you prove yourself the roles will grow. As the Forbes article states, “You don’t become a leader by being promoted. You get promoted because you are a leader.” It’s up to you to find a way to prove your leadership ability.

Getting a promotion rarely has anything to do with the luck and everything to do with hard work. “People who are recognized and promoted are those who make an effort and stand out in their organization,” affirms Huffington Post. “They are go-getters who are fearless in taking on a new challenge, and they constantly challenge the status quo.” So your best bet for landing that promotion is to stop wishing on a four-leaf clover and start hustling instead.

A Time to Quit
Not to dispute the benefits of finishing what you started, but there also comes a time when quitting and leaving a task undone is the best course of action. It’s important to focus your time where it can have maximum impact on reaching your long-term goals. While it can be hard to walk away from a project or admit a task isn’t the right course of action, doing so may be just the finishing you need to do. Making a decision to move on can be just as effective, sometimes more, when faced with a goal that is no longer relevant in the big picture. Here are a few questions to help you decide when quitting may be the best way to finish.

  1. Have your resources changed? It’s important to consider the time, finances, and support you have available to finish a task. After evaluating your resources, you have to consider at what level you’ll be able to finish the task. Sometimes not doing something is better than doing it poorly.
  2. Have your goals changed? With changes in technology, consumer habits, the economy, and more, you need to evaluate whether or not your short-term goals and tasks are still relevant in accomplishing your long-term vision.
  3. Has your understanding changed? You know what they say, “hindsight is 20/20”, which can be true of tasks along the way to reaching your goals. Sometimes lack of knowledge leads us down the wrong road, acknowledging it sooner rather than later is best.

Counting Down: A New Year’s Checklist for the Office

2010Resized  10…9…8…  The end of the year countdown is here, and many workers are looking forward to a little time off before 2011.

The year may be coming to a close and hopefully, you’re getting to take a holiday break, but business never comes to a complete standstill. And it can be a bit overwhelming to return to work after time away.

Monday, Jan. 3 is the first business day of the new year, and the end-of-the-year countdown can actually feel more like “Ready, set, go!,” as you turn the page to another calendar full of business objectives, projects, and meetings.

Before you close the door on 2010, give yourself some peace of mind this holiday season by preparing for January at work. Even if you’re not planning to take a break this year, every worker can benefit from a fresh start. So, take advantage of the last few days of the year to develop a different perspective.

Follow this checklist to help tie up loose ends and get the new year off to a productive start.

Clear up clutter: Come back to an organized office. Sort through stacks of paper to recycle or throw out unnecessary items. Dust and sanitize your work station. Take home seasonal decorations before you leave. Minimize distractions by eliminating those items that would otherwise delay your fresh start.

Archive your files: Look through that filing cabinet, drawer, or desk organizer. Separate out projects that are finished and store them in another area. Label new files for 2011.

Write detailed action lists: It’s easy to forget exactly what you were working on after some time out of the office. Create a list of action items to complete upon your return. Also jot down the last steps you took in the project’s process. You’ll know exactly how to pick up where you left off.

Manage email: Don’t forget to set your out-of-office message and include whether or not you’ll have access to email. Co-workers will be less likely to send or forward emails if they know you won’t be reviewing them immediately.

Finish up: Consciously decide to finish what you’ve started. You’ve heard it said: “Don’t put off until tomorrow what you can do today.” It’s easy to postpone projects that you don’t feel like working on, especially right before a break. Prioritize finishing up your projects so you can truly enjoy your free time without the dread of returning to incomplete tasks.

What’s the Worst that Can Happen? Saying No to Projects

EntryLevelLifeButton_C You agreed to lead staff meeting this morning. It’s your day to go on a lunch run for everyone. You have a conference call with a client right after lunch. You have three back-to-back meetings from 2:30 to 4 p.m. You agreed to help distribute the office mail. And, to top it all off, you’re working the weekend shift to help out a co-worker who’s sick. Just the thought of all you have to do is overwhelming. It’s not a bad thing to want to be a “super employee,” but when you try to take on everything by yourself, you quickly start to feel like you have too much to do and not enough time to get it all done.  If this sounds familiar, you could be overcommitted at work.

Juggling tasks and demands is a big part of any job in any workplace, and the art of time management is an important skill to have as an employee. But, when you get bombarded with projects, how many times do you agree to do something else when you’re already maxed for time? To effectively manage your workday, you have to learn the art of saying one little word: “no.” Although “no” can be a scary word to say, it’s much worse to over promise and under deliver. The art of saying “no” is all about how you approach it and how you say it. Here are some tips on how to make your “no” effective when you can’t say “yes” to everything.

Track your project workload. Always know what projects you’re working on, when they’re due, and how much time you’re spending on them. This keeps you aware of what projects you have already said yes to and whether or not you can take on anything else. If your boss wants to assign you four new projects with an immediate deadline by maintaining a project list you can show him whether or not that can be accomplished with your current workload. If it’s not, ask if you can work out a new project deadline so you can have the necessary time to make the project the best it can be, rather than doing something quickly and filled with errors.

Know your job priorities. What key tasks are you responsible for in your current job? In your job description, what goals were outlined for your career? Those goals and projects are usually your main focus. But, you will have times where you do need to help out a co-worker with some of their tasks or take on a special project that has nothing to do with your job. It’s never OK to use the excuse of “that’s not part of my job.” A team does have to give and take, but if special projects are taking over your work schedule and you’re not able to complete your core tasks, something needs to give. For instance, if a manager asks you to pick up their dry cleaning, it might be time to have a chat with your boss about what projects you can gracefully decline. If someone other than your manager asks you to take on a project, tell them, “thank you, but I will have to check with my manager before I know whether or not I can do this project.” If you don't know what the priorities are for your job, check out the Tough Conversations podcast series to learn how to approach your manager.  

Maintain your ethics. In the workplace, not everything you do is going to get you ahead of the game. Never under any circumstances should you do anything that compromises your integrity. For example, if a co-worker asks you to lie to your manager to cover up a mistake she made, that definitely justifies saying “no.” Sometimes saying “no” may make you the unpopular person, but it’s better than jeopardizing your values and losing your job. Don’t let individuals bully you into saying “yes” to something that’s against company policy or makes you feel uncomfortable. If someone asks you to do something questionable or illegal, tell them “no” and explain that you feel uncomfortable with that. If you continue to be asked to perform that task, contact your HR department.

Keep things relevant. Obviously if you don’t know how to do something, don’t just agree to take it on. If you find yourself in the situation of not knowing how to complete a project because you don’t have the skills, let your manager know your concerns. It’s better to decline the project rather than try to take it on and hurt your career in the process. Most managers and co-workers would be appreciative and understanding of what you can and cannot do. Instead, they should look at that as a learning process for you under the guidance of someone more experienced. In the event that this happens to you, explain that you would like to take on the project, but do not have the necessary skills to complete it. You could also let them know you’re interested in learning how to do that particular job, but you would feel comfortable with some training or supervision first. 

“No” doesn’t have to be a bad word, as long as you can logically show why that is the best answer in a situation. Just keep in mind that as you continue to grow and develop in your profession, you will be expected to take on more duties. As your schedule gets busier and your projects increase, be sure you’re in control of your projects and your workday so they don’t control you. Follow these basic tips to empower you to say “no” when necessary.

From Good Employee to Great Boss – 9 Tips to Get You Promoted

You’ve been called a great employee. You show up to work on time every day, you complete your work by the deadline, and you never, ever complain. Shouldn’t this be enough to get you to the next level?

In the minds of some employees, the answer would be “yes!” But, in the real world, if you’re showing up to work on time, finishing projects efficiently, and you have a pleasant attitude, then you’re just doing your job!

It takes going above and beyond to get to the next level. So, check out these nine steps to get promoted.

Work where there is opportunity to grow. You can’t move up quickly if there is nowhere to go. So, before you accept a job offer, make sure you find out if there are advancement opportunities. If you already have a job, talk to your supervisor about creating a career path that will lead you in the right direction.

Be the best you can be. After you have accepted a position with an employer, don’t immediately bombard your supervisor with questions about being promoted. Serve your time, pay your dues, and be the best employee you can be. Coming in on time and staying until 5 p.m. does not make you an overachiever. So, ask your co-workers if they need help with any of their projects once yours are completed. Offer assistance when your manager’s load gets too heavy. Show that you are a team player, and be flexible with your work schedule.

Speak up. Don’t be afraid to take ownership on projects you’ve completed or to present your ideas and solutions. You don’t want to have a “look at me” attitude, but it’s OK to keep your boss informed of the projects you’re working on and the ideas you have. This shows initiative and demonstrates you have the abilities, skills, and drive you need to get ahead.

Network with co-workers. Networking doesn’t stop simply because you have a job. Make it a point to meet as many people as you can in your company. Don’t limit yourself just to the people in your department. Many companies offer career paths in multiple areas and departments. And, “who you know” can be important at work when it comes to decisions involving promotions.

Schedule meetings with your boss. Once you have put some time in at your job, consider scheduling some one-on-one times with your supervisor. Take this opportunity to proactively discuss how you are doing in your current position and possible career paths for your future. This is your chance to build a relationship with your boss, address your desire for a promotion, and find out what you need to do to make it happen.

Continue learning. Whenever there is an opportunity to learn a new skill, regardless of whether it’s included in your current tasks or assignments, sign up and attend a conference, webinar, or night class that could benefit you and your team. Continue to build to your skills repertoire. This will build your value to you as an employee and show your employer that you’re willing to put in the extra effort to be the best at your job.

Volunteer for new projects. If your boss asks for volunteers to work on a new task, raise your hand. But, make sure you have time to complete the assignment on top of your normal deadlines first. You don’t want to over promise and then under deliver. If you have time to complete the task, offer to work on as many extra projects as you can. This is a great way to broaden your skills.

Search for a mentor. It’s always a wise decision to search out people who you would like to emulate in your career and ask them to be your mentor. But, before you approach the subject of a mentorship, make sure you’ve established a relationship with your prospect. This is beneficial to you and your prospective guru. It gives you both an opportunity to find out if you’re compatible and allows you to determine whether or not you’re asking the right person to advise you.

Find other employment. If you’ve exhausted all the steps above, growing your skills, expressing interest in advancement and becoming an indispensable member of the team but still have not received a promotion, then it might be time for you to look for other employment opportunities. But, before you jump ship, make sure you’re not just being impatient. After all, timing is everything! If you still feel it’s time to move on, make sure you have another job lined up before you go.

Climbing the career ladder can be difficult at times. There are bumps and snags along the way, but if you follow these nine steps and keep a positive attitude in the process, you could just find your way into the corner office sooner than you think.

Before You Go On PTO (Paid Time Off)

Coming back to work after taking some time off is never fun, especially if you’re coming back after a fabulous vacation. But, as sure as the morning sun rises each day, going back to work is inevitable. What you do before you go on your paid time off however, will be the difference between coming back to a mountain of work and sliding back into your normal work routine with ease.

Recently, I had to take some time off for a tonsillectomy. I know, not necessarily a stay at the beach, but still a planned event that required a number of necessary days off from work. So, I made a plan ahead of time to get as much work done as possible so I wouldn’t be bombarded with projects when I came back and my co-workers didn’t hate me for pushing work onto their already full plates. When you have a scheduled vacation or any other upcoming event that requires time off from work, try following these tips to help your transition be an easy one.

Work ahead. If you work in a job where you are able to work ahead on tasks, do so. Don’t procrastinate and wait until the last minute to complete them. Figure out task deadlines that need to be completed while you’re out and those that are due when you first come back, then make sure they are done before you leave. This will ensure that your co-workers don’t have to add your additional work to their heavy workloads. If you can’t work ahead on job assignments, make sure you keep your scheduled paid time off on your boss’s radar and co-workers’ minds so they aren’t surprised when it’s time for you to leave.

Create points of contact. It’s always good to assign someone to be the point person on specific tasks in case anyone outside your department has questions while you’re away. Create a cheat sheet for the project officers you’ve assigned tasks to help them easily access information. A cheat sheet should include background information on tasks, where they can find file folders if necessary, deadlines on tasks you were unable to meet prior to your leave, and important phone numbers. 

Inform those who need to know. Make sure you let your department and contacts know the dates you will be unavailable. This will help keep the lines of communication open and allow questions or concerns to be addressed prior to your time away from work. Also, create an assigned task list with the name of the project officer to give to your supervisor to keep them apprised of who is working on what. If you work with people outside of your department, let them know who will be able to help them on specific items in your absence. Always remember to leave an out-of-office message on your e-mail and voice mail so you don’t leave people wondering why you haven’t responded.

Leave an emergency number. It’s always a good idea to leave an emergency number in case something comes up. Most times, your co-workers will value your time away from the office and will not bother you. But, if a crisis happens in your absence, it shows great consideration and dedication to your team if they can contact you if needed. If you’re concerned about being contacted often, set expectations that have been approved by your supervisor on when co-workers can call.

Preparing a plan before you go on your scheduled leave from work and completing the necessary steps outlined above will help ensure your transition back to work is a smooth one. Not to mention a smooth work environment for your co-workers who have to help you in your absence. Plus, when it’s time for your co-workers to take time off from work, they may follow your example and remember how you prepared.
