5 Tips for Finishing the Work Week Strong

productive weekHave you ever had one of those weeks with a constant stream of interruptions, back-to-back meetings, and an increasing workload? Or, have you felt so hectic that when Friday rolls around, you feel so bogged down in work that the joy of the weekend is shadowed by the sheer amount of work you must do?

Regardless of the work environment you’re in, you’ve probably experienced times of overwhelming workload. So how can you cope when priorities are weighing you down? Here are some tips for using Fridays to finish the week strong and cope with work overload.

1. Kill e-mail. A recent report in USA Today highlighted a phenomenon called “Zero E-mail Fridays.” At Intel over 150 engineers at the company recently committed to forego e-mail on Fridays and to opt for a phone call or face-to-face meeting if communication is needed. Other professionals are going a step further and deleting their entire inbox each Friday in order to have a clean slate when Monday rolls around.

2. Get an e-secretary. You may not be able to take things this far, depending on the type of work you do and whether or not you’ve followed up on important e-mails, but many prominent time-management gurus advise that at the least, workers should avoid staying logged in to e-mail throughout the day. If you can’t commit to this every day, start doing it on Friday. One way to do this is to treat the out of office e-mail function as a personal e-secretary. Simply type a message saying something along the lines of: “I’m in the office right now but not checking e-mail until 4 p.m. today. If you need to get in touch with me immediately, please call…” That way, you can commit to checking your e-mail only two or three times each day and have more time to focus on the tasks at hand as the week ends.

3. Purge the paper. If you are like most workers, you have a constant inflow of information, and not all of it is digital. In fact, research shows that the Internet has increased the amount of paper we use – 1 billion trees total or 735 pounds of paper per worker are consumed each year in the U.S. alone. But, studies show that when you’ve touched paper once, you will only look at 10% of it again. So, start throwing it away (or stop printing it out!). Don’t even waste your time filing, unless it’s something that’s necessary to have a hard copy back up of. Do you really need that memo about the new software training you’re signed up for? Probably not. Into the recycle bin with it. Making a goal of tossing 90% of the paper on your desk at the end of each week will help you cut down on the clutter and keep only the most important documents within reach.

4. Make time to plan. Try to carve out a chunk of time on Friday to plan for next week’s work. An hour is a good goal. This gives you time to review and update your to-do list, to rearrange priorities, to look at your calendar and to think strategically about how to approach your work. You’ll thank yourself when Monday rolls around and you can hit the ground running without a second thought.

5. Give yourself a break. Now that you’ve done the hard work, the planning, the organizing, and are set up for a great upcoming work week, it’s time to give yourself a break. That’s what days off are for, after all. So, after you leave the office for the week, turn off the Blackberry, forget about your to-do list, and find some time to unwind. Making time to enjoy life will help you feel balanced, increasing your focus and job satisfaction once you return to work for a productive week.

There, you can sign up for a free account and search over 900 job descriptions. You can also sign up to take a free career values assessment or purchase a full career assessment package. The site also offers salary data and descriptions of college majors along with related careers. They have resources for everyone from middle schoolers to adults looking for a career change.


2. Talk to an expert.

Another great idea when you want information about career options is to talk to someone you know who works in the area you are interested in. If you don’t know anyone, ask around. Chances are, your friends, parents, co-workers or classmates will know someone who works in your desired field. Make an appointment to visit them on the job, or meet someplace for lunch to chat with them openly about what they do, the pros and cons of the career, and what they would recommend for someone wanting to start out in that field. Not only will this give you insightful information, it will help you begin to build your network in the field.


When you’re considering your career options, you’ll make the best choices if you’re informed about all the possibilities. You’ll also increase your chance of finding a job you love by considering all your options.

Don’t Complain, Communicate: Boost Your Career with 7 Tips

Yesterday, I covered why complaining is dangerous to your career. That said, it’s important to understand the fine line between communicating and complaining, because one can hurt your career while the other can enhance it.


One of the most critical skills for employees seeking to grow professionally is communication. Sometimes, it’s necessary to communicate about negative things. Perhaps you need to tell your boss about an abusive co-worker. Maybe as a manager, you need to deal with an employee who messed up an entire product line.


Excellent communicators know that even when they’re dealing with negative subjects, they can keep things positive through what they say and how they say it. You can communicate professionally and make sure you don’t cross the line into the complaining zone by following these tips.


1. Prepare first. When you don’t take time to prepare your thoughts, it’s easy for communication about negative things to become complaining. Think of yourself as a politician who has bad news to deliver to the media – you wouldn’t go into it without well thought out points. Take the time to sort out your ideas, cool off if necessary and prepare your comments before taking on a conversation about a not-so-happy subject.


2. Communicate formally. Most gripe sessions are spontaneous, unplanned, secret and informal. To keep yourself from falling into the complaint trap when it’s time to bring up something negative, do so formally with an in-person meeting.


3. Don’t make it personal. This one is tricky, especially when other people are involved. But you should avoid making things personal when dealing with a negative situation. Otherwise, you’ll become too emotional and won’t be able to handle the situation with a level head. To keep things professional on the job, discuss issues, not people.


4. Discuss the problem briefly. Make sure you outline the basic issue, but don’t give more than a few minutes to communicate it, or you will end up in the midst of a gripe session. If you’re talking to someone else involved in the situation, you will need to take responsibility for limiting this part of the discussion, or you may find yourself dragged down a long path of negativity.


5. Focus on solutions. To keep the conversation grounded and to avoid getting personal, focus on talking about solutions, outcomes and opportunities. Sometimes, worst case scenarios are opportunities in disguise. Talk about what positive changes can be made or what needs to be done to address the situation fully.


6. Follow through. Because it’s a self-serving, emotional process, complaining rarely results in action. It usually starts and ends with negativity. To make sure your hard work and effort in addressing a bad situation properly don’t end up getting lumped in with complaining, follow through on your proposed solutions with actions to change things for the better.


7. Be positive. People often say that complaining is contagious, but positive communication is as well. No matter what negative things are going on, put a smile on your face and focus on the positive aspects of your work, life, co-workers, family and employers. You will realize that thinking positively changes your perspective and helps you communicate rather than complain – and it rubs off on the people around you, too.

5 Reasons Complaining Can Hurt Your Career

Everyone can think of someone who never stops complaining. They have too much work to do, dislike their boss, have annoying co-workers, struggle financially, have family problems, etc. The thing is, they may have very valid complaints. Maybe their boss is a micromanager and they have a co-worker who refuses to act professionally. They may be bogged down with boring tasks or have too many things assigned to them.

1. Complaining plants seeds of negativity. You may start by complaining every once in a while about your finances or your spouse. When you give in to the habit of complaining, it increases your stress level, pushing you into the downward spiral of negativity. Before you know it, you may be complaining about everything from your car to your boss. Your outlook on your job is bound to get worse the more you complain.


2. Complaining about your workload makes you look incompetent. Wasting time complaining about how much you have to do merely demonstrates to your boss that you’re not focused, skilled at time management or capable of doing your work. Smart employees know to approach their boss for help balancing their workload instead of complaining about it.


3. Complaining about your tasks makes you seem entitled. Complaining about not liking the work you are assigned makes you seen ungrateful and high maintenance. It also demonstrates to your boss that you don’t have the skills or confidence to propose new tasks or projects.


4. Complaining is a sign of a bad leader. Leaders don’t complain; they foster change. Complainers make bad leaders. They encourage other people to complain rather than taking action to improve things. Five Tips for Getting Past Résumé Gaps

A reader recently asked a great question in response to our post about telling the truth on your résumé . She asked what to do when you have a spotty work history with many employment gaps but for good reason. We think this is a great question.


Employment gaps happen to a lot of people for a lot of reasons. Those who’ve been stay-at-home parents, had the opportunity to travel, attend school, serve as a volunteer, or be a care-giver for a loved one, often choose to return to the workforce after a period of time. Unfortunately, because employment gaps are typically associated with poor performing workers, employers tend to look negatively on all applicants whose résumés reflect a large period of time without work. This can make it tricky to get in the door for an interview and show that you’re a qualified candidate.


But, there are some résumé techniques you can use to highlight your capabilities and not the gaps.


1. Focus on skills. Using a skills-focused résumé can help you emphasize your qualifications over your work history. Try opening your résumé with your objective and then give bullet points with key skills or qualifications you possess and those you’ve attained while on hiatus instead of launching into your employment history.


2. Use a functional format. Instead of relating your work experience in a chronological format like a traditional résumé, use the functional style. This type of résumé groups experience not by chronological order but by relevance to the position at hand.


3. Highlight unpaid experience. If you served as a volunteer for a religious or civic organization during your employment gap, list the position you held along with the title “volunteer” and describe the transferable skills you used in that position to show that you have unpaid experience in the field you’re applying for.


4. Don’t fudge on the dates. It’s critical not to exaggerate or lie about the dates of employment you’ve held. It’s easy for employers to verify employment dates, and fudging the facts will only make matters worse.


5. Send a cover letter. It’s typically not appropriate to write “Stay-at-home-parent, June 2004-August 2007” on your résumé, but you can talk about your situation in a cover letter, if you feel comfortable doing so. Don’t get into the nitty gritty, and whatever you do, don’t complain about your situation. But you can explain your situation, highlighting how it pertains to the position at hand. For example, you could say that for three years you used time management, care-giving and financial skills by maintaining the family budget and caring for your child at home.


Be honest with prospective employers about the reasons you have a work gap, and keep in mind that if you’ve been busy with other pursuits while away from work, you’ve probably gained a variety of transferable skills that may make you a prime candidate. Your break from the work world may just make you the perfect candidate for the right employer. In fact, recruiters are beginning to look for returning workers with past experience to fill the void of Baby Boomers who are beginning to retire. Using these tips to highlight everything about you that makes you the right candidate can help you make sure recruiters look past the gaps and see what you have to offer as an employee instead.

7 Questions to Ask an Interviewer

Asking questions is a vital step for any job-seeker in an interview. You may think that asking questions makes you look unprepared, but the opposite is usually true (unless you are unprepared!) Having several specific questions in mind before you go to your interview can ensure that you end the interview giving a good impression. If things brought up during the interview intrigue you, ask about them. If you feel like you have a good grasp on things, ask questions anyway. Even if you land the job – and even once you’ve been on assignment – you won’t know all there is to know about it.

With that in mind, here are seven basic questions to pick from for your next interview. Asking two or three questions like these can set you apart from the pack and get you one step closer to getting the job.

1. What does a normal workday for this position look like? This question can reveal a lot about the job that’s not listed in the job description. It can also demonstrate to you the level of knowledge the interviewer has about the job itself. And, asking it shows that you’re interested in more than a paycheck and benefits.

2. What does your typical day at work consist of? People love talking about themselves. Asking this question not only gives the interviewer a chance to share about themselves, their answer can show you how much someone in the position you’re interviewing for would interact with you on a daily basis.

3. What is the biggest challenge someone in this position typically faces? This is one of the tougher, more insightful questions you can ask. It may put the interviewer on the spot, but it also shows that you are thinking critically about the job. The fact is, there are challenges in any job, and showing that you know that and are willing to face them is a great trait for any job seeker to demonstrate.

4. What are the opportunities for career growth in this organization? You probably don’t want to tell the interviewer that you want their job in the next two years. Believe me. I’ve sat in interviews where job candidates said that, flat out. (They didn’t get the job.) But demonstrating that you’re interested in career growth shows you’re committed to your field and the organization. And, the interviewer’s answer can also tell you a lot about whether this is an organization you really want to join.

5. What is the growth plan for this company in the next five years? Asking this question shows that you can think beyond yourself and your job. Managers are held accountable for their department’s contribution to the company’s goals and bottom line, so asking the interviewer about the company’s plan for growth not only shows your business acumen, it can tell you a lot about the stability of the organization you’re considering tying yourself to.
 

6. Why is there a vacancy for this position? This can be a tough question, but it’s often worth asking. If there are personality conflicts or management issues in a department, and someone left for those reasons, this is a great time to find out. Sometimes, a position has been created because you’re joining a growing team or a person left because they were promoted. Both are answers you deserve to know.

7. When can I expect to hear back from you? If you don’t ask this, you might never know. You can end up spending a lot of time waiting by the phone if you don’t know the interviewer’s schedule for filling the position you’re seeking. It can also help you know when to follow up or send a thank you note. For example, if they’re planning to make the hiring decision that day, you’ll want to send an e-mail or leave a note at the front desk as opposed to mailing it.

Remember, the interview is also your chance to find out about your potential employer. If you land the job, you’ll spend a lot of time and energy working for the company. That’s why you need to make sure you want the job, fit with the organization’s culture, believe in its mission and understand its goals. So, on your next interview, take the opportunity to ask meaningful questions.
